‍Problem: Paper Processes Cause Delays

Jessica Ochoa, Human Resources Recruitment Administrator, at Occidental College, knew it was time to implement change when paper-based processes began to delay hiring new employees. In addition to lengthy approval timelines, Occidental’s HR department experienced many typical side effects of paper-based processes, including manual entry errors, back-and-forth communication, and unnecessary delays caused by form submissions getting stuck on a desk or in an inbox.

Two processes were causing hiring delays: the position request form and the student position request form. Each form required approximately 10 workflow steps from multiple reviewers and approvers. With 736 full- and part-time positions across campus and every department relying on HR, transforming these processes would benefit the entire institution.

Solution: Automated Forms & Workflow Solution

Ochoa was introduced to Kuali Build, a forms and workflow automation platform built exclusively for higher education. Build would give Ochoa the functionality and flexibility she needed to create custom forms and workflows for her problematic hiring processes and additional processes across HR.

Kuali Build provides an easy-to-use, drag-and-drop form builder to digitize and automate forms. Build also allows users to create customized automated workflows, giving users the flexibility to tailor approval pathways to the unique needs of their institution.

Results: Streamlined Processes Boosts Hiring Agility

Using Kuali Build to modernize position request forms reduced the approval timeline by four days. Kuali Build streamlined cross-departmental processing, reduced time spent on administrative work, and improved data accuracy, ultimately offering more hiring agility for all departments.

Streamlined Processing

Kuali Build streamlined the position request forms from end to end. Rather than emailed PDFs or hand-delivered form submissions, forms are automatically routed through the custom workflow Ochoa created.

Before Build, Ochoa acted as a hub for submitted forms. Multiple steps were routed through HR to determine where the form went next. Ochoa also needed to know if the position was new and required advertising. Now, using branching and logic features in the workflow tool, submissions are automatically sent to the correct approver based on the information submitted in the form. At that point, Ochoa and her team are immediately notified upon submission when a new position is requested or advertising is needed, allowing them extra time to complete behind-the-scenes administrative work.

"What I like about the electronic Student Position Request Form is that it streamlines our process and speeds up approval, eliminating the wait for paperwork to be approved by each appropriate party." - Staff member at Occidental College

Reduced Time

Kuali Build has reduced approval timelines by up to four days! With the form automatically routing to approvers, forms don’t need to be physically walked from office to office and are far less likely to be stuck on one person’s desk.

A consistent problem before using Kuali Build was status requests from those who had submitted a form. The lack of transparency created tedious back-and-forth communication. Kuali Build’s dashboard allows submitters and stakeholders to see where the form is in the approval process, reducing time and communication to locate forms.

Users also love the ability to pull up previous form submissions to use as a reference point. For faculty who oversee many student positions, this significantly reduces the time they spend to submit a new form. Approvers can leave notes throughout the approval process, which helps form submitters provide more complete and accurate information.

“I love the new ePRF! There is a clear hierarchy of approvals and I can see where the form is at any time. This saves my time and eliminates countless emails between me and HR to request updates.” - Staff member at Occidental College

Improved data accuracy

Before Kuali Build, Ochoa and other approvers spent time ironing out submitted information. Forms were incomplete and included manual entry errors. Ochoa had to log form submissions in a separate spreadsheet to account for every form.

Now, fields in the Build form are required, so submitters cannot submit an incomplete form. Additionally, through API integrations, form submitters can select information from drop-down lists to reduce common typos. As a result, Ochoa spends less time on manual record-keeping by using Build’s dashboard, which automatically tracks form submissions and approvals.

Future Automated Processes

After seeking process feedback, Ochoa reported that staff were impressed with the new solution. Kuali Build has been a “game-changer” for Occidental College, both in adding agility to the hiring process and simplifying processes for staff. Ochoa and her team eagerly anticipate further process transformation using Kuali Build.
